Map the dependencies

A fund’s operating workflow can involve several external providers and internal decision makers. Start by identifying which output depends on which input. A shared calendar is more useful when it includes the owner of each input and the person who confirms that the output is ready for review.

Separate delivery from approval

Receiving a document does not necessarily mean that the relevant internal review is complete. Track delivery and approval as separate steps where the workflow calls for both. Make open questions visible and agree who follows them up with the provider.

Keep a usable decision record

Record the context for material operational decisions alongside the action and owner. The aim is to help the next reviewer understand what remains outstanding without reconstructing a long email thread.
